How do I decide who to invite to an executive roundtable?

Invite executives whose responsibilities, current challenges and peer interests fit the roundtable's purpose. Balance prospects, customers and credible participants who will contribute to the discussion. Use account priorities and appropriate invitation paths, but do not let easy access alone determine the guest list or turn the room into a collection of sales targets.

Define the discussion first

Choose a specific problem that participants can discuss productively without sitting through a pitch. Identify the functions and levels that own that problem. Title alone is an unreliable guide to relevance.

Build a balanced room

Consider industry, company maturity, perspective and the participants' ability to learn from each other. Be deliberate about competitors and confidentiality. A customer can add valuable experience, but should not be expected to deliver a sales testimonial.

Research target-account stakeholders and possible routes through peers, colleagues and customers. Confirm personal relationships before using them for invitations.

Apply a clear invitation policy

Record why each person belongs, who will invite them and how attendance fits the event objective. Keep a reserve list, but do not overbook a small format based on untested attendance assumptions.

Review guest quality

Assess actual participation, topic relevance and post-event interest alongside attendance. For commercial reporting, record account engagement and qualified next steps without judging guests purely by whether they become opportunities.
